CEJI is Looking for an EU Project Finance and Administration Officer!

A FULL-TIME EU PROJECT FINANCE AND ADMINISTRATION OFFICER

(to start immediately)

The candidate will have the following responsibilities:

  • Financial monitoring and reporting to the organisation’s funding sources, including EU-funded projects, private foundations and Belgian authorities.
  • Coordination of financial reporting for EU projects covering all disbursement of funding to partners. 
  • Provide technical assistance as needed to collaborating partners for EU-funded projects.
  • Coordination of the EU Project administration, including contracts with partners, suppliers, subcontractors, price quotations, file-management, deliverables uploading on EU portal, etc.
  • Working closely with CEJI’s management and accountant, projects’ budgets need to be integrated into general budget, including allocation of income, expenses and overheads between different projects and deferred multi-annually as appropriate.
  • Monitoring of project accounts, control of expenditure against budgets, calculating staff costs to allocate to various projects
  • Preparation for and management of external audits by EU and private foundations, if needed.
  • Financial and administrative support to staff members in the fundraising process.
  • Ensure compliance of grants with EU or private foundations’ regulations.

In addition, the candidate will assist with basic Office Management tasks, including:

  • Management of time-tracking system to facilitate efficient reporting to funders and organisational analytics for evidence-based human resource and financial planning.
  • Liaising with suppliers, maintenance of office equipment and computers and insurance management
  • Acting as point of reference for general office operating needs

Profile: knowledge of EU project financial and contractual procedures, 4 – 5 years’ experience in book-keeping and financial management, experience in reporting to the EU institutions, fluent French/English, fully computer literate, good interpersonal skills, able to work independently and a good team-player.

Full time position (5 days / week)
